The report a spreadsheet cannot give you

The most valuable thing a trade portal produces is not the orders. It is knowing, week by week, which accounts quietly stopped buying which lines.

Distributors rarely lose an account in one go. They lose a line at a time, and by the time the revenue drop is visible in a monthly report, the venue has been buying that product from somebody else for a season.

Why manual ordering hides it

When orders arrive as emails, spreadsheets and phone calls, the order data exists but the pattern does not. Somebody would have to compare this week's order to the same account's order from six weeks ago, line by line, across every account, every week. Nobody does that, so nobody sees it.

What people see instead is the total. And the total is a poor early warning system, because a venue that has quietly moved three lines to a competitor while increasing volume on two others looks flat.

The three questions worth answering weekly

  • Which accounts ordered a line consistently and have not ordered it in the last N weeks? This is churn, one product at a time, and it is the earliest signal you get.
  • Which accounts buy from three of your categories when comparable accounts buy from five? This is range penetration, and it is the cheapest revenue available to you.
  • Which lines does an account buy that similar accounts also buy, but they do not? This is the substance of a rep's next visit.

None of these need machine learning. They need order lines in a queryable form, which is precisely what a spreadsheet emailed as an attachment is not.

Give it to the customer too

The version of this that gets overlooked is showing a venue their own numbers: what they spend, on what, and how it moves. It sounds like a favour to them and it is, but the effect on you is that a buyer who understands their own spend orders more deliberately and negotiates from data rather than from feeling.

It also makes you harder to replace. A supplier who is also the clearest source of information about a venue's own purchasing is not a supplier that gets swapped out on price alone.
